Provides administrative or donor support and/or plans,
organizes, and coordinates various development activities,
functions, and events.
Education/Training: High school graduation or equivalent;
college degree preferred.
Experience: 3 years administrative or donor support experience,
preferably in a fundraising, public relations, marketing, or
License/Certification/Registration: No special certification,
registration or licensure is required.
Knowledge, Skills & Abilities:Excellent verbal and written
communication skills. Excellent customer service, problem solving,
and time management skills. Proficiency with various computer
software applications. (Raiser's Edge, Word, Excel, PowerPoint,
Primary Duties and Responsibilities
Actively participates in the Office of Philanthropy strategic
and tactical planning processes and serves as a resource to others
in the department and within the hospital.
Anticipates the needs of the Board members, leadership,
physicians, and volunteers the need for materials to perform their
role in support for donor cultivation and solicitation.
Assists Annual Fund staff when needed.
Attends philanthropy events to cultivate donors and plays an
active role in cultivation at these events which are mostly held
during the evening and weekend hours.
Contributes to the achievement of established department goals
and objectives and adheres to department policies, procedures,
quality standards and safety standards. Complies with governmental
and accreditation regulations.
Ensures accurate and timely disposition of gifts/donations to
the finance department, as appropriate.
Ensures that all materials and logistics are prepared in advance
of meetings and notifies all involved. Coordinates and tracks any
follow-up required as a result of meeting.
Identifies, researches, maintains, and monitors information on
potential sources of gifts and sponsorships, assists with
Maintains gift acknowledgement process as requested by preparing
customized and standard letters based on gift donor information;
proofs and mails these letters to donors.
Manages administrative functions for department.
Manages prospects, donor projects, stewardship, and events.
Orders supplies and requests maintenance of office equipment for
the department, as appropriate.
Organizes and maintains accurate and timely input of
biographical, gift, and pledge data in fundraising software;
produces timely pledge reminders; and, monitors pledge payments.
Ensures integrity and confidentiality of information.
Participates in multi-disciplinary quality and service
improvement teams. Exercises independent judgment with respect to
real and potential problems and brings such matters to attention of
appropriate party with recommended action, when appropriate.
Participates in meetings and on committees and represents the
department and hospital in community outreach efforts.
Performs other duties as assigned.
Prepares information for reports, mailing lists, etc. Prepares
minutes when necessary.
Takes initiative to determine appropriate action and resolution
of various day-to-day matters, issues, and projects when determined
to be within scope of authority.
When requested, answers the telephone, screens and routes calls,
takes messages and provides prompt and appropriate assistance to

- Works with other department staff to assure accurate and timely
maintenance of donor recognition lists and displays.
